Appeals

A student whose eligibility for financial aid has been suspended may submit an appeal if mitigating circumstances prevented the student from achieving satisfactory academic progress.

The SAP Appeal form should be submitted to the VCU Office of Financial Aid within 30 days after receiving the financial aid suspension letter.

Documentation

To confirm an extenuating circumstance, students must attach supporting documentation from an objective third party such as a physician, counselor, lawyer, teacher or academic advisor. Any appeal submitted without documentation will be denied.

Third-party documentation must:

  • Be submitted on official stationery with appropriate signatures or by email from a valid VCU email account
  • Verify that extenuating circumstances occurred during the time frame referenced in the appeal
  • Verify that the extenuating circumstances will no longer influence academic performance

If the document submitted is an obituary notice of an immediate family member, the student’s relationship to that family member must also be documented.

If students have exceeded more than 150 percent of the hours required for their degree program, they must attach a Satisfactory Academic Progress Maximum Time Frame Appeal Form This form should outline all remaining courses required for their program and expected graduation date.

Statements will remain confidential and only financial aid personnel will review these appeals.

Decisions

Appeal decisions are based on the information presented on the appeal form and the SAP criteria. Make sure the appeal contains as much supporting information and documentation as possible.

Appeal decisions will either be denied or approved. In some cases, academic conditions may be imposed in order for aid to be reinstated.

All decisions of the SAP appeals committee are final.

Deadlines

The deadline for submitting all financial aid appeals and all supporting documentation is November 20 for the Fall semester and April 16 for the Spring semester. ;If reinstatement of aid is sought for the summer session, the appeal must be submitted prior to the first day of classes for that term. Any appeals received after these dates will be considered for the following semester or term.
